Government IT RFQ Guide

How to write a government IT hardware RFQ: line items, compliance (TAA, NIST), delivery, and vendor documentation for faster audit-ready quotes from PuBuild.

Why a complete RFQ matters

Contracting officers and IT leads lose time when quotes bounce for missing compliance language, ambiguous quantities, or unclear ship-to constraints. A structured RFQ lets PuBuild return a line-item BOM with lead times and documentation suitable for your procurement file — often within one business day for standard configurations.

Include these elements every time

  • Agency and program: Organization name, contract vehicle if known, and solicitation or task order reference.
  • Line items or performance requirements: Manufacturer part numbers, quantities, or minimum specs (CPU core count, GPU model, storage IOPS, etc.).
  • Compliance: TAA, NIST 800-171, CJIS, ITAR/EAR, or FedRAMP-oriented notes as applicable — we document sourcing and configuration at quote.
  • Delivery: CONUS ship-to, receiving hours, lift-gate or dock requirements, and target award or install date.
  • Attachments: Existing BOM spreadsheets, SOW excerpts, or security checklists accelerate review.
